The Depot Administrative Clerk performs a wide range of administrative and office support activities for the depot and depot management team to facilitate effective and efficient warehouse operations. This position effectively manages daily/weekly appointments ensuring a manageable flow of both inbound and outbound shipments, while also acting as one of the primary points of contact for drivers and vendors requesting assistance.

Key Accountabilities:
Provide excellent customer service
Answer, screen, and transfer inbound phone calls
Receive and direct visitors and clients
Handle requests for information and data
Maintain good communication with buyers, office and warehouse personnel
Manage inbound shipments
Make appointments for inbound shipments and ensure they are entered in RETEK
Prioritize appointments according to instructions provided and knowledge of special orders/promotions
Daily follow up on appointments regarding issues, changes with carriers, buyers and warehouse.
Handles daily issues that arise between carriers and the warehouse.
Manage all Fedex/UPS drops to the warehouse including PO tracking and confirmation of goods received. This includes physically verifying completeness of shipments noting any deficiencies.
Make appointments that support the delivery and shipment of facility project purchase orders.
Assist in managing outbound shipments
Manage the Crowley report for demurrage on container status
Keep a running track of all receivables in order to place containers into shipped status
Assist with depot filing
File outbound container pallet tag packages in office filing cabinets
File driver’s delivery receipts with its corresponding container pallet tag package
Maintain a good electronic and hard copy filing system for all shipping instructions
Move old files from the filing cabinets and place them in storage boxes for record keeping
Help keep a good office appearance
Help maintain a clean and safe work office environment
Help move filing boxes to warehouse
Provide operational support of Depot Activities
Assist office coworkers, warehouse personnel with receiving. Searching out bad tags, changes in inventory, etc.
Monitor the Hold area of the warehouse in coordination with the warehouse manager.
Communicate with the buyers regarding what they have or are planning to put in to hold.
Maintain HAZMAT process within the splitting area by maintaining a color code process identifying HAZMAT classifications as appropriate
Manage the color coding of tags. Differentiate the various categories the tags fall into including promotional tags (e.g. Easter, Back to School, Black Friday, Christmas)
Desired Skills & Experience: • Must be able to get Port clearance • Must have intermediate math and reading skills • Must have intermediate to advanced computer skills with a minimum typing ability of 45 words per minute • Strong time management with proven ability to manage deadlines and targets • Previous data entry experience required • Previous customer service job(s) required • Intermediate knowledge and ability to use MS Office programs like Excel, Word, and Outlook • Warehouse office experience is an asset • Experience with shipping export documentation is an asset • Must be very detail oriented, able to pick out discrepancies among an abundant amount of numbers of letters and numbers
• Strong communication and interpersonal skills with a demonstrated ability to provide superior service
• Must possess strong attention to detail
• Must be able to communicate clearly, effectively, and professionally with all levels of company personnel and external stakeholders
• Must have a common sense approach to problem solving. Ability to handle multiple functions at one time.
• Must be able to keep a good filing system
• Must be able to operate various office equipment, such as fax, copiers, printers
